Resolving “ERROR – Multiple Document Groups Assigned”

Overview

When importing supplier responses, you might encounter the warning:

ERROR – Multiple Document Groups Assigned

This error typically occurs when the ‘Nearest Document Group’ setting is used.


Cause

The ‘Nearest Document Group’ feature attempts to assign imported documents to the closest relevant document group. However, if an evidence item is associated with more than one document group, it can lead to this error.


Solution

To resolve this error, follow these steps:

  1. Navigate to Project > Setup > Manage Evidence Items.
  2. Locate the evidence item linked to the error message.
  3. Review the evidence items and identify any duplicates across different questions.
  4. Remove the duplicate associations, ensuring each evidence item is unique to one question.


Best Practices When Using ‘Nearest Document Group’

  • Ensure that every evidence item is assigned to only one question (note: more than one evidence items can be assigned to a single question).
  • Confirm that each question is linked to a single document group.
  • Be aware that selecting ‘Use nearest document group’ will bypass any transfer settings for internal or supplier documents.
